Define the trip before comparing prices

Start with your departure city, dates, travellers, number of nights and room arrangement. Write down the same assumptions for every destination you compare. A solo room, a shared double and a family room are different purchases; dividing every total by two can make a trip look affordable when it is not.

Use the budget worksheet to enter quotes in INR. It begins empty because your dates matter more than an invented average. Enter each person’s share of a room or vehicle, and the full amount of their own fare or ticket. Keep the original currency and the date of the quote in your own notes.

Build the fixed-cost subtotal

First collect the costs attached to the route: international flights, baggage, accommodation, airport transfers, travel documents and any intercity transport. Read what each quote includes before entering it. Compare the same cancellation conditions where possible.

An additional base means more than its rail or air ticket. Count the transport to and from stations or airports, any extra baggage cost and the night you may need around the connection. JNTO’s rail guidance illustrates why a national pass is not automatically the best fit for every itinerary.

  • Flights: final payable fare, baggage and necessary seat or service charges.
  • Rooms: all nights, occupancy, taxes and any mandatory property charges.
  • Ground transport: both airport journeys and every change of base.
  • Documents and insurance: the route-specific amounts confirmed by authorities and providers.

Add spending you control

Set a daily amount for meals and local travel using menus, transport information or current provider quotes that fit how you travel. Put attractions and excursions on a separate line so you can see what is optional. Include connectivity and any payment-provider charges you have checked.

Convert local-currency quotes using the rate and charges that apply to the way you will actually pay. Avoid mixing today’s card rate with an old conversion from a blog. This guide does not prescribe a forex product or a tax treatment.

Choose a reserve, then test the route

Set aside an amount you are comfortable keeping for changes or delays. The reserve belongs in the total cost, but outside the amount available for planned daily spending. No single percentage suits every traveller.

If the total exceeds your limit, compare changes one at a time: fewer paid excursions, one fewer base, a different room or different dates. A cheaper flight can be poor value if it requires another hotel or removes a useful day.
